💡 Welcome to Nova
You’ve made a smart decision. This guide is your companion through everything — from understanding how Nova works to launching your first campaign, optimising for results, and building the outbound habit that compounds month on month.
Read it once, end to end. Then use it as a reference — each section links to the resources you need at exactly the right moment.
What Is Nova?
Nova is an AI-powered outbound sales platform. It generates personalised outreach messages at scale across email and LinkedIn so your team can spend less time writing and more time in conversations with the right prospects.
Nova learns from you. When you train it with your company’s context, target audience, and messaging approach, it produces outreach that sounds like your best salesperson — not a generic AI template.
How Nova’s AI Works — The Four Training Layers
Level | Name | What It Does |
01 | Human Expertise | Built on extensive B2B sales knowledge and proven outreach principles. |
02 | Company Knowledge | Learns your product, tone, pricing, personas, and positioning. This is where your context box feeds Nova. |
03 | User Mimicry | Adapts to your writing style and communication preferences. Nova sounds like your brand, not a template. |
04 | Campaign Intelligence | Researches each prospect individually and adapts messaging per campaign, audience, and moment. |
Your Campaign Workflow
Stage | What Happens | What You Do |
Train | Nova learns your business, audience, and value proposition | Complete your ICP Worksheet and build your context box |
Campaign | Nova generates personalised messages for each prospect | Upload your prospect list and configure your campaign |
Send | Messages go out on schedule across email and LinkedIn | Monitor results in the dashboard |
Optimise | You refine the context box to improve performance | Review data and make targeted improvements |
Scale | Successful campaigns expand to new personas and markets | Build additional campaigns and grow your pipeline |
💡 ⚡ The One Thing That Determines Your Results Your Context Box 1.It overrides Nova’s default behaviour — your instructions take highest priority 2.A specific, well-structured context box produces personalised, on-brand messages 3.A vague context box produces generic output — this is the most common mistake 4.The first version is always a starting point — most customers improve it 2–3 times in Month 1 5.You do not need to be technical to write a great one — you just need to know your business
Good to Know
What Nova Is Not
Not a set-and-forget tool
— Nova performs best when you engage with it weekly
Not a replacement for human relationships
— it starts conversations, you close them
Not magic
— quality in, quality out. The better your inputs, the better your results
Not a one-size-fits-all template
— it is trained specifically on your business

Before You Begin
Pre-onboarding checklist — complete before your Week 1 session.
✅ ✅ Complete These Before Your First Session ☐ICP & Target Persona Worksheet — at least Sections 1 and 2 filled in ☐Your company’s value proposition in plain language — what do you do, for whom, and what result do they get? ☐2–3 pain points your target customer experiences day-to-day ☐A rough revenue goal for the next 90 days ☐Nova account logins — your Onboarding Manager can help if you’re not set up yet ☐A prospect list started or in progress (see the CSV Data Validation Template for format guidance) ☐Example Campaign Templates reviewed — sets your quality benchmark
Week — Strategy & ICP
Before a single message goes out, you need a clear strategy. A campaign without a defined strategy produces generic outreach. A campaign with a clear strategy produces replies.
The Four Questions You Need to Answer
Question | Why It Matters |
Who are we targeting? | Job title, industry, company size, geography — the more specific, the better the personalisation |
What problem do we solve for them? | Nova’s messages need to reference a real pain — not a feature list |
What do we want them to do? | One clear, low-friction ask — a 15-min call, a reply, a resource download |
What does success look like? | Agree a reply rate target and a meetings-per-month goal before you start |
Your Ideal Customer Profile (ICP) tells Nova who to talk to and how to talk to them. If the ICP is wrong, no amount of clever messaging will fix it. Get this right first.
✅ ✅ Campaign Strategy Checklist — Lock These Before Moving On ☐Target persona defined: job title, industry, company size ☐Primary pain point identified: the #1 problem this persona experiences ☐Value proposition clear: what outcome do you deliver, and how are you different? ☐CTA agreed: one specific, low-friction ask (e.g. a 15-minute call) ☐Success metrics set: reply rate target and meetings per month ☐Campaign name agreed and ready to enter into Nova
Week — Campaign Build & Launch
STEP 1 Your Prospect List — Prepare clean, targeted data to power your campaign
Nova needs a list of real prospects to send messages to. The quality of your list directly affects the quality of your results — a targeted, verified list will always outperform a large, unfiltered one.
Required Fields
Field | Why It’s Important |
First Name | Used in personalised opening lines — critical for naturalness |
Last Name | Used for full name references in messages |
Email Address | Primary delivery channel — must be verified |
Company Name | Used by Nova for personalisation — no abbreviations |
Job Title | Must match your ICP — wrong titles = wrong audience |
LinkedIn URL | Recommended — significantly improves personalisation quality |
❌ ⚠️ Before You Upload — Avoid These Mistakes ✗Mixed audience in one file — if targeting multiple personas, create a separate campaign for each ✗Unverified emails — high bounce rates damage your sending domain and reduce deliverability ✗Missing company names — Nova uses these for personalisation; without them, messages feel generic ✗Abbreviated company names — ‘ACME’ instead of ‘Acme Corp’ disrupts personalisation ✗Too few or too many contacts — Minimum 100 prospects for a meaningful test; maximum 500 for your first upload
STEP 2 Campaign Build & Context Box
Campaign Settings
Setting | What to Do |
Campaign name | Make it descriptive: [Market] [Persona] — [Date]. e.g. UK SaaS VP Sales — Q1 |
Sending schedule | 8am–5pm weekdays in your prospect’s timezone |
Daily send limit | Start at 20–30/day — this protects your sender reputation |
Reply detection | Always ON — pauses the sequence when a reply is received |
Unsubscribe link | Always included — required for compliance |
Context Box Template ROLE: Who Nova represents TARGET: Job title, industry, company size, geography CONTEXT: The problem they face — why usual fixes fail — what you do differently TONE: e.g. Peer-to-peer. Direct. Commercially sharp. No consultant language. STRUCTURE: Message 1 purpose + word limit | Message 2 | Message 3 NEVER USE: "phrase 1" "phrase 2" — any violation = failed output BANNED WORDS: word1, word2, word3 REQUIRED: Specific instruction that must always be followed
💡 Three Context Box Rules to Remember 1.Use CAPS headers and strong language: NEVER, BANNED, PROHIBITED — not ‘avoid’ or ‘try not to’ 2.Quote exact banned phrases in "double quotes" — vague descriptions get ignored by the AI 3.Be specific, not descriptive: ‘Maximum 100 words’ not ‘keep it short’
STEP 3 Test Send & Launch — Review output before going live
Before going live, generate 5–10 test messages and ask yourself:
Does this sound like my brand?
Is the personalisation working — is it referencing the right company and industry?
Is the word count within the limits I specified?
Would I be comfortable if this prospect replied to this message?
If the answer to any of these is no, go back to the context box — not the campaign settings.
✅ ✅ Pre-Launch Checklist — Tick All Before Clicking Launch ☐Context box reviewed and approved — you’re happy with the test messages ☐Prospect list uploaded and validated — no errors flagged by Nova ☐Campaign settings configured: send times, daily limits, reply detection ON ☐Unsubscribe link included ☐You know how to log into the dashboard and read the key metrics ☐First check-in with your Onboarding Manager booked for 48–72 hours after launch
Week — Live Optimisation
The Optimisation Cycle
When | What to Review | What to Change |
48–72 hrs post-launch | Delivery rate, open rate, early data | Send times, daily limits if needed |
End of Week 1 | Open rate, reply rate | Subject lines, list quality |
End of Week 2 | Reply rate, reply sentiment | Context box — CONTEXT and TONE blocks |
End of Week 3 | Meetings converting from replies | Follow-up timing, reply handling |
Month 2+ | Pipeline per campaign | ICP refinement, new personas, scaling |
Quick Diagnosis — Message Quality
If Your Messages Feel Like This | Do This |
Generic — could be about anyone | Make the CONTEXT block more specific. Name the exact pain. |
Too salesy or pitchy | Update TONE to: ‘Peer-to-peer. Direct. Commercially aware. No consultant language.’ |
Too long | Add to STRUCTURE: ‘Maximum [X] words — any output over [X] words = failed output’ |
Banned phrases still appearing | Move phrases to NEVER USE with exact quoted strings in double quotes |
Opening sounds like a template | Add to REQUIRED: ‘Begin with a specific observation about their industry’ |
CTA feels too aggressive | Add to STRUCTURE: ‘Low-friction offer only. No meeting request in Message 1.’ |
Week — Performance & Scale
How to Calculate Your Nova ROI ROI Multiple = Total Pipeline (£) ÷ Monthly Nova Cost (£) 1. Count meetings booked from Nova in the past 30 days 2. Apply your average deal value and close rate to estimate pipeline created 3. Divide pipeline value by your Nova subscription cost Example 5 meetings × £20k average deal × 20% close rate = £20k pipeline | Nova cost: £629/month | ROI = 31x
Your 30 / 60 / 90 Day Milestones
Milestone | Target | If You’re Behind |
Day 30 | First campaign live. 1+ campaign/week. First replies received. | Review context box and list quality with your Onboarding Manager |
Day 60 | ROI emerging. 40%+ feature adoption. Positive reply rate trend. | Increase frequency. Narrow ICP. Refine context box. |
Day 90 | 3x+ ROI visible. Renewal certainty. Expansion being modelled. | Book a review session — let’s identify what’s blocking momentum |
